Add a Query

The Advanced Search page allows you to search for specific records by creating a query, which requests information from your database and returns results based on the parameters (also known as search criteria) you have set. A query can be built using the Query Builder or the advanced Query option and used to populate widgets with information in a dashboard.

  1. Tap Search and tap Advanced Search.

On the Advanced Search page, there are three panels. The first panel contains any Saved Queries and New Query, which allows you to build new searches. The middle panel is where the query is created either using the Query Builder or the advanced Query option. The final panel shows the results of which work activities meet the search parameters of your query. At least one response field must be selected for the query type to view the preview of work activities, see Preview Query Results for more information.

  1. Tap New Query.

  1. Enter a Query Name for the new search.

The Query Builder allows you to easily create a query by selecting search fields from the desired search categories from a menu format instead of using query syntax. See Use the Advanced Query Option for more information on using query syntax to manually create a query.

  1. Select if the query is a Cityworks, Gis Feature, or Gis Object search.

NOTE: Select Cityworks to use the existing query types. Select Gis Feature or Gis Object to use GIS queries also known as asset searches.

  1. Select the Query Type, such as work order, requisition, serial, material, or material request.

After you have selected the Query Type, the primary search category (also known as a parent function) appears along with any secondary or tertiary search categories (also known as child functions). Each Query Type has different search categories.

NOTE: If you're creating a query that has a primary search category of Activities, this primary search field category must be populated for any secondary search categories under Activities to be saved and included in the query.

  1. Tap the add icon next to any category and select any search parameters to include in the query.

NOTE: If any custom fields have been created in Admin for a PLL case, they can be used as search criteria in a Case Object query. See Custom Form in the Admin 3.2 Guide for more information.

  1. Once a search parameter is selected, enter the value you want to search for and add to your query, such as Closed for Status Code. Either enter the values manually (in a comma separated list) or tap the more options icon to select the Operation and the search value from a drop-down list if it is available for the search parameter.

EXAMPLE

If you selected a Status Description of Closed and select the Equal operation, then all work orders that have a Status Description of Closed appear in the results.

NOTE: See Search Parameters Fields for more information about search parameter fields available in the Query Builder.

  1. Tap Save Query once you have added the parameters and values you want.

The advanced Query option allows you to create a search that is built using query language (i.e., syntax such as AND and OR statements). This allows you to be more specific with the inputs in order to filter the data accordingly.

NOTE: Tap Show Query if the Query panel does not appear automatically.

  1. Enter a query in the field.

NOTE: To track minimum quantity, add the following to the Query field: Material(, StoreroomStock(StockOnHand < StoreMinQuantity)) or Material(, StoreroomStock(StoreRm = "ClientStoreroom" and "StockOnHand< StoreMinQuantity)).
