Configure Domain Preferences

The Domain panel contains overall preferences.

  1. From the home page, click Admin and click Preferences.
  2. Click the AMS tab.
  3. Expand the General section.
  1. Turn on Allow Changes to Initiated Date/Time to allow users to change the initiated date/time on service requests, work orders, and inspections. The default for this field is not enabled.

NOTE: Date/time stamps for initiating service requests and/or work orders are tracked in the Audit Log, so the original date/time can still be viewed.

  1. Turn on Use Dynamic Cost Codes to enable Configure Dynamic Cost Codes and Add or Edit a Custom Job Code. The default is not enabled.

NOTE: Do not use dynamic cost codes if asset- or task-based costs are needed as they are not yet supported in Cityworks.

  1. In the Webhook User Api Token Days, enter the number of days a webhook generated user API token is valid before it expires. Enter -1 to signify no expiration for the token.
  1. Enter the Attachment Root Directory, the file path for the folder where attachments are stored. See 10630: Configuring Server Attachments on MyCityworks for more information.

IMPORTANT: When setting the Attachment Root Directory, ensure that the folders and subfolders specified contain only folders with attachments. Under no circumstances should the Attachment Root Directory specify folders or subfolders which have content from the wider website or from the server underlying the website.

  1. For the Print Output Type, select either Docx or Active. If you select Docx, service requests, work orders, and custom inspections are printed as Microsoft Word .docx files. The templates must be stored at ...\inetpub\wwwroot\<site_name>\cw-site-data\_tenant-data\_default-volume\tenant-1\docx. If you select Active, the records are printed as ActiveReports PDFs. The templates must be stored at ...\inetpub\wwwroot\<site_name>\cw-site-data\_tenant-data\_default-volume\tenant-1\reports. The default is Docx.
  1. Select either Code or Description from the Storeroom Display Text drop-down list to determine how storerooms display across Cityworks.

  1. Expand the Comments section.
  2. Select Oldest or Newest for the Comment Sort Order from Top field. Comments are sorted by the date added. The default is Oldest.
  3. Turn on Allow Comments to be Deleted to allow users to remove their own comments, and domain administrators to remove any comment. Removed comments may be tracked in the audit log. The default is not enabled.

NOTE: If this preference is enabled, a delete icon appears next to each comment.

The Email preferences allow Cityworks to send internal emails to designated employees and external emails to citizens. Emails can be sent at certain times, such as when a service request or work order is created or closed, when plans for a new building are approved, or when a Submit To or Dispatch To field is changed.

  1. Enter the Email preferences. See Configure Email Settings for more information.

NOTE: These Email settings are also used for password recovery. When a user forgets their password, they are sent an email to reset their password. If the user belongs to multiple domains, the default domain's Email settings are used.

SMS configuration is done at the domain level, so each domain can have their own Twilio accounts or different messaging services. The SMS section can be configured in Admin starting in 23.3.

  1. Expand the SMS section.
  1. Enter the SID for the Twilio SMS server.
  2. Enter the Messaging Service SID for the Twilio SMS server.

This allows you to add multiple phone numbers to a single service. This is helpful for sending multiple messages at once.

  1. Enter the Auth Token for the Twilio SMS server.

The Message Queue Service section is no longer in use.

NOTE: Admin automatically saves the changes you make. A message appears at the bottom of the page when you make changes.
