Add a Fee

This section will discuss how to set up new fees and explain the different kinds of fees that can be added.

PREREQUISITES:

  • The Fee Setup security function and its associated sub-functions must be selected for the security role you belong to. See Security Roles for more information.
  • You must have a case data group set up. See Case Data Groups for more information.
  • You must have a case data detail associated with the case data group. See Add a Detail to a Case Data Group for more information.

To set up a new fee, follow these steps:

  1. Click Fees & Case Data on the menu panel and select Fee Setup.

  1. On the Fee Setup panel, click Add record near the upper, right-hand corner.

NOTE: Search or filter the records on this panel to quickly find the one(s) you want. See Search and Filter Records for more information.

  1. On the Add: Fee Setup panel, enter a 10-character fee code and a brief description in the respective fields.

NOTE: The fee code cannot be changed once the fee is saved.

  1. Enter a Category and Fee Details if you wish. A category is an optional organizational tool, and fee details is for additional information not mentioned in the Fee Description.

  1. If you wish, enter the account number the fee will be paid toward in the Account Code field.
  2. Select the Grand Sum check box if you want the value used to calculate the fee to be linked to the Grand Sum field on the Case Data panel of the permit.

  1. To add a Data Group Code and Detail Codes to the fee, click the link above the respective fields to open a selection window. The window contains two fields and four arrow buttons.

The field on the left displays all the available items. The field on the right lists which items are accessible to end users when they use this case template.

  1. Select items in the Available Case Data field by clicking on them.

TIP: Use <Ctrl + click> or <Shift + click> to select multiple items.

  1. When you have selected the items you want, click Move highlighted item(s) to Selected List to add them to the Selected Controls field.

Items may be removed from the fee by selecting the item you wish to remove in the Selected Controls field and clicking Remove highlighted item(s) from Selected List.

You can move items up or down in the Selected Controls field by selecting the item you wish to move and then clicking Move selection up or Move selection down until the item is in the desired place.

  1. When you have added and arranged the data group or detail codes you want, click Submit. This will add the settings to the fee and close the add window.
  1. Select the Anonymous and Registered check boxes if the fee will be added to cases created in Public Access by guest users and registered users respectively.

IMPORTANT: If the Anonymous or Registered check boxes are not selected, the fee will not be added to cases created in Public Access.

  1. Select the Auto Recalculate check box if you want the fee to be recalculated every time the form is opened.
  2. Select the Recalc Create Date check box to calculate the fee based on the fee structure that was in place on a given date.

If this check box is not selected, the fee will be calculated using the current fee structure.

EXAMPLE

A case was created on December 15, 2016, but the organization implemented a new fee structure on January 1, 2017. If the Recalc Create Date check box is selected and the administrator opens the case on January 23, 2017, the fees will not change because this setting ensures that the fees are calculated using the fee structure that was in place on the day the case was created.

If the Recalc Create Date check box is not selected and the administrator opens the case on January 23, 2017, the fees will be recalculated based on the new fee structure.

  1. Select the Lock On Payment check box to ensure that a fee amount will not change once a payment is made on that fee even if the payment is only a partial payment.

NOTE: This is a per-fee basis, so administrators can set this for each individual fee if desired.

NOTE: If the fee is refunded in full, the fee amount will be unlocked.
