Perform an Audit

Audit and the cycle counting capabilities in Storeroom allow you to manage the frequency of audits and automatically adjust the audit date based on the frequency of when the audit is performed.

PREREQUISITES:

  • Employees must have the Can Audit right given under Config > Groups. See Add or Edit a Group for more information.
  • Storerooms must be added under Config > Storeroom Materials. See Add or Edit a Storeroom for more information.
  • Material must be added under Config > Material. See Add or Edit Material for more information.
  1. Tap Audit from the menu.

NOTE: It is a best practice to have all issue, receive, and transfer transactions recorded in the system before performing any audit transactions. If an audit transaction is entered before a receive or transfer transaction (meaning the receive or transfer transactions have a transaction date and time that is before the audit transaction date and time) is entered, then Storeroom will only record the receive or transfer transaction in the database and will not change the stock-on-hand quantity or add any comments.

  1. On the Material panel, select a Storeroom from the drop-down list. This changes the list of materials. Materials can only be selected from one storeroom at a time.

  1. Select materials from the list. See Search Materials for more information on using the search tabs to find materials.

  1. Enter the information in the Audit panel to audit the material, including the New Quantity and/or New Unit Cost if those values have changed.

  1. Tap Add to List to add the material to the Pending Audits panel.

You can filter the material in the list by tapping the search icon and typing the first few letters or numbers of the material name, bin location, or part number.

You can modify the Pending Audits panel in one of the following ways:

  • Tap the column icon to modify the columns shown, such as if a column is included, or to change the order of the columns. Alternatively, reorder the columns by dragging and dropping them. Any changes made to the column settings are remembered.
  • Tap the gear icon to adjust the number of rows shown in the panel. The number set in this panel will persist on all other transaction pages for the corresponding pending material panel.
  1. If you would like to add other materials to this audit transaction, tap Clear in the Audit panel to clear the fields, then add another material to the list.
  2. To remove one of the records from the Pending Audits list, select the record and tap Remove Selected.
  3. Tap Commit to process all audits listed.

When an audit transaction is recorded, both the Transaction Date and Recorded Date are populated with the current date and time. Audit transactions cannot be postdated, meaning that it is necessary for users to transact audits in real-time. This allows for auditing of LIFO (Last In First Out) and FIFO (First In First Out) cost types.

BEST PRACTICE: Use either a Wi-Fi network in your storeroom, or use a tablet, PC, or other device that allows you to run Storeroom to first count and then record the audit transactions.
